How to write a recommendation letter for an employee

Like any other business letter, A recommendation letter from an employee’s reporting manager is extremely valuable. A reporting manager is expected to provide a firsthand account of his interactions with the individual. His endorsement will help him beat the competition and secure the job.

Hence, it is equally important to follow business letter writing standards while writing a recommendation letter for a coworker or an employee.

Here is how to write an effective recommendation letter for an employee.

  1. Get your facts: When a former employee asks you to write a letter of recommendation, it’s best to inquire about the reason for the request. You may also request that he provide a job description for the role he/she is applying for, as well as the skills he/she wishes to be endorsed for. You should also request an updated copy of his resume to ensure you are aware of his strengths and skills.

Also, if you are unfamiliar with the candidate or are not confident in him/her. It is better to decline the request.

  1. Use business letter format: As previously stated, a recommendation letter is an important document. To write the recommendation letter, always use a business letter format. You can start with the date, then your contact information, and finally the receiver’s contact information.

If you’re writing a general letter of recommendation, you can start with “to whom it may concern,” but if you’re writing to a specific hiring manager, you should start with a proper salutation, followed by the body of the letter.

You can begin writing the body by introducing yourself and your relationship to the candidate. Also, don’t forget to mention how long you’ve been working with him. Following that, you may write about relevant skills and strengths, supplemented with an example of an incident in which he or she impressed you. Remember that you’re attempting to convey why the candidate was an exceptional resource and why he should be hired. You may also write in detail about his/her accomplishments and performance if you wish.

Close the letter by reiterating your confidence in the candidate and thanking the reader for taking the time to read it. Also, make sure to assure them of your availability if they have any questions about the individual.
